Voting Instructions

August 11, 2009

Dear Fellow STCA Members;

By now most of you have received the ELECTION PACKET mailing from Charla Hill, Recording Secretary, containing the ballots, biographies, and instructions for mailing the completed ballot(s) back to Mark Todd, CPA, the independent accountant who will be counting the ballots.

Unfortunately, it has come to our attention that some of the envelopes addressed to the CPA were missing the printed return address label with your name(s) and address. The label is critical information in the election process as it is the only way for the CPA to know that you have voted and to check off your name.

Therefore, if your envelope (addressed to Mark Todd, CPA) was missing the printed return address label with your name and address or if you have ANY concern about the status of the ballot you mailed to the CPA, please do the following:

Contact me, Marcia Dawson, STCA Corresponding Secretary, as soon as possible and let me know that you want a new ballot or if you have not mailed your ballot, that you want a new return address label. You will be sent the requested items as quickly as possible. The new return address label will be a distinct color that the CPA will be able to identify as the final ballot from you and will be the ballot counted.

The CPA has certified that all envelopes will remain sealed until the deadline. Where there are multiple envelopes from a member, the one counted will be determined by the following priorities:
1. Colored return label
2. White return label
3. Personal return label
4. Personal handwritten return address

Each envelope to be counted will be checked off on the STCA membership list and the type of label noted thereon before the ballots are separated and counted. As soon as it is received from the CPA, this list will be available to members from the Corresponding Secretary. All discrepancies reported to the Corresponding Secretary will be resolved by the Board before the election results are made official. All election envelopes and ballots will be kept by the CPA and made available to AKC for inspection.

Each and every STCA member has the right to cast his or her vote and to have confidence in the election process. The STCA Board regrets and sincerely apologizes to the entire membership for any inconvenience and confusion that the omission of some ballot materials has caused.

Remember, please vote and let your voice be heard. Rest assured that every vote will count. The deadline for the votes to be received by the CPA is extended to September 7, 2009.

Sincerely yours,

Marcia Dawson, Corresponding Secretary
